POSITION:  COMMERCIAL LOAN ADMINISTRATOR

Summary:

Responsible for the review and completion of all due diligence associated with the commercial loan documentation/closing process, including pipeline management, satisfaction of approval conditions prior to the preparation of commercial loan documentation and controlling the disbursement of new loan proceeds by originating loan documents or auditing and reviewing attorney prepared documents to ensure adherence to loan approval requirements. Additional responsibilities include monitoring and enforcing post-closing exception items and working closely with customers and attorneys to manage the loan closing process.

 Key Result Areas:                              

Responsibilities include assisting with the daily operations of the commercial lending staff with regards to the following duties:

  • Customer Relationship Management – Respond to internal and external customer inquiries, resolve commercial customer problems and/or assist in resolving commercial inquiries by directing customers to appropriate departments. Communicate basic lending information, general basic services and product information to customers and Bank personnel.

  • Coordinate and Complete the Commercial Loan Closings – Responsibilities include preparing and obtaining necessary loan documentation for new CRE, C&I, and SBA loan requests including Construction loans, Participations, SWAPS, Bonds, Letters of Credit, modifications, increases, renewals and extensions, ensuring adherence to required loan terms and conditions.  Work in conjunction with closing attorneys, various vendors and customers to aid in closing process.  Ensure that loan closing requirements are met and that all exception items are accurately tracked.

  • Pre-Closing Review – Responsible for the review of critical loan documents to ensure adherence to specific loan terms and conditions outlined in the loan approval are accurately reflected on the final loan documents, including but not limited to: Borrower info, loan amount, term, rate, prepayment penalty, collateral, guarantors, key covenants etc.

  • Loan Funding – Responsible for reviewing, coordinating and initiating the funding/disbursement of new and existing loan closing proceeds, in-line with the executed settlement statement and disbursement authorizations from attorney and customer.  Responsibilities include reviewing the settlement statement for accuracy and to ensure required Bank fees have been collected, prepare funding sheets/wire request forms and obtaining required funding authorizations/approvals from appropriate Loan Officers.

  • Post-closing Documentation Review – Responsible for the post-closing documentation review and enforcing receipt of closing binders and exception items by working closely with Loan Officers, Attorneys and the Commercial Loan Servicing staff.

  • Loan Expenses – Responsible for tracking all loan collection expenses, vendor fees, good faith deposits and other professional fees. Responsible for reconciliation of GL accounts, billing issues/discrepancies.

  • UCC Filings/Searches- Responsible for filing and/or searching UCC’s through the UCC Direct website in order to perfect the Bank’s lien on Borrower’s assets pledged as collateral.

  • Standard Flood Hazard Determination Forms – Responsible for ensuring that Standard Flood Hazard Determination Forms have been ordered and received on all Commercial Loans secured by Real Estate 10 days prior to closing in accordance with loan approval requirements, CSB Commercial Lending Policy, FEMA Guidelines and Federal Regulatory requirements.

  • Patriot Act Identification Worksheets – Responsible for obtaining the receipt of Patriot Act Identification Worksheets and verifying customer information required on all new and existing Commercial Loan customers in accordance with the CSB Patriot Act Policy, Commercial Lending Patriot Act Procedures, and Federal Regulatory requirements.

  • Beneficial Ownership Customer Due Diligence – Responsible for obtaining the receipt of the Certification of Beneficial Ownership Form and verifying/identifying the beneficial ownership of legal entity customers in accordance with the Commercial Lending Beneficial Ownership Procedure and Federal Regulatory requirements.

  • Legal Exceptions – Responsible for the tracking of legal exceptions and work with the Loan Officers, Borrowers & Attorneys to clear them.  Other responsibilities include the preparation and mailing of additional information letters to the Borrower notifying them of any additional documentation requirements.

  • Loan Advances – Responsible for the preparation of Commercial Loan advances under existing Master Lines of Credit in accordance with loan approval requirements and CSB Commercial Lending Policy.   Responsibilities include; verifying the availability under the Line and ensuring that all requirements have been satisfied prior to the disbursement of funds.

  • Department Reporting – Responsible for entering, updating and monitoring critical data into the DNA core system for the preparation of the following C-view reports distributed to Sr. Management: Pipeline Report by Officer (weekly), Production Report by Officer (monthly), Commitment Report (monthly) to the Accounting/Finance Department any outstanding commitments per FDIC requirements.  In addition, responsible for assisting the Commercial Loan Closing Manager and VP Commercial Loan Administration with additional reporting as requested by Sr. Management.

  • Internal Loan Documentation – Responsible for the preparation of internally prepared loan documentation using Laser Pro for Commercial Real Estate (CRE) and Commercial and Industrial (C&I) loan originations, modifications and renewals in accordance with loan approval requirements CSB Commercial Lending Policy and State/Federal Regulatory requirements. 

  • Loan Approval Summary (LAS) – Responsible for reviewing the LAS for completion of all due diligence, pre-closing conditions, collateral and guarantor requirements and ensure that OFAC checks have been completed through the Bank’s OFAC system on Borrowers, Guarantors and authorized signors.  In addition, ensure that the LAS is approved with the appropriate signature level of authority in accordance with the Commercial Loan Policy.

  • Commitment Letters – Assist the Loan Officers with the preparation of commitment letters in accordance with loan approval terms and conditions for the Commercial Real Estate department.

  • Payoff Letters – Responsible for the preparation of commercial loan payoff letters in accordance with Attorney, Borrower and/or Loan Officer Requests and DNA core system.

  • Loan Denials/Adverse Action Notification – Responsible for the preparation/tracking of Reg. B notifications to business applicants including incomplete applications, approval of and denials in accordance with the Commercial Lending Policy and procedures.

  • Documentation Management – Responsible for maintaining Commercial Loan documentation by scanning/importing required documents and due diligence to the Bank’s content management system efficiently and accurately, ensuring that documents are accurately indexed to Borrower’s name and account number and verifying quality of images.

  • Perform additional duties as required.

Qualifications: 

  • Associates Degree.

  • 3-5 years banking experience to include loan operations and documentation management experience required.  Deposit operations experience also beneficial.

  • Strong PC skills including proven ability to assimilate new software applications, Word, Excel, in a windows environment.  Core banking system, LaserPro, Nautilus and Adobe Professional.

  • Demonstrated confidence, assertiveness and ability to present self and Cambridge Savings Bank in a professional manner.

  • Ability to handle highly confidential material relating to both personnel and customers in a professional manner.

  • Strong organizational skills in working effectively with other divisions of the Bank.

  • Excellent customer relations, communication and interpersonal skills.

  • Ability to pay close attention to detail, work independently and meet deadlines in a fast-paced environment.
